Administrative duties - handling of accommodation, conference, and catering enquiries via telephone, emails, walk-ins.
Completing quotations and reservations - guests and ufs post-graduate students.
Generating quotations for catering and events .
Creating function sheets and coordinating functions and events.
Daily maintenance of the catering and events diary via the booking system - current and upcoming events - ensuring that all functions and events are up to date, and all information given is correct and updated when necessary. .
Liaise with external vendors and suppliers as per client requests - décor, special diets, etc.
Venue hire.
Assisting with décor set-up and strike down at venues.
Delivery of catering requests when necessary - on and off campus.
Hotel and post-graduate reservation check ins and check outs .
Access and student card activations - liaising with access control.
Compiling contracts for post-graduate students .
Effectively establish and maintain guest relations and customer service.
Liaising daily with housekeeping to ensure the effective and efficient running of the guest house, as well as ensuring that all guest requirements are met, including all maintenance issues.
Liaising with the kitchen / chefs - communicating all guest requirements.
Assist with breakfast, functions, and events.
Providing support to the line manager, as well as the housing & residence affairs management - permits, policies, residence appointments (peoplesoft hr), and financial claims (peoplesoft finance).
Management and training of intern.
Financial acumen including receiving payments, purchase orders, journal entity transfers and account recons, credit notes, refunds, etc.
Collecting and banking of weekly cash-ups from dining halls - main campus & south campus.
Filing of all financial income from the dining halls.
Daily cash-up and day-end reports.
Stock-take and stock control - kitchen and office management.
Ensuring the compliance of all covid-19 protocols in the workplace.
Hygiene and neat up-keep of the reception and breakfast area.
Liaising with security personnel if and when necessary.
