HR General Function:
Staffing, On-boarding & Payroll:
1. Develop and implement HR programs to support the business needs of the organization.
2. Handles all HR policy implementation and inquiries from the employee population. Administer
approved policies and practices covering several areas including recruiting, training, employee
relations.
3. Implementation of performance management and improvement reviews.
4. Partnering with function heads and employees to address development needs and plans both
from the business perspective and the employee perspective.
5. Manage advertising job positions, Shortlist and interview of applicants.
6. Recruitment, processing applications, verifying employment, separation, contracts,
Compensation and Benefits, schedule in compliance with organizational policies, contracts,
laws and agreements.
7. Prepare the on-boarding plan for new hires.
8. End to end payroll processing using Zenhours and payment of government remittances.
9. Providing written references, conveying information through developed written materials such
as forms, Inter-Office letters, procedures, and memorandum required for documentation
activities.
10. Conduct HR-ONE/SQUARE ONE for new hires and deployment of on-boarding procedures
as directed by HR Shared Services.
11. Conduct interviews for 3rd party agency promoters and endorsements.
Training Function: Nikon School Workshops
1. Ocular Inspection of Venues
2. Purchasing and preparation for Training Logistics
3. Ingress and Egress (as needed)
4. Monitoring of training proceedings which includes review and evaluation of facilitators.
5. Ministerial Management of Nikon School activities and events including Nikon School
On-Board (via 2GO) and other Nikon School related activities.
6. Back-up facilitator (if needed)
Administration Management:
1. Maintain records concerning personnel-related data such as hires, transfers, performance appraisals, and absenteeism rates.
2. Communication with other departments, subsidiaries, internal and external partners and entities.
3. Ensure compliance with regard to employment legislation such as grievance, disciplinary and
other procedures and other contractual obligations.
4. Monitoring of Company issued tools of the trade and other equipment for different sites and
employees.
5. Maintaining confidentiality/concerning personnel actions, legal actions, termination and non-
renewal documents, and organizational plans.
Operational Management:
1. Manage daily administrative functions like responding to direct requests for information or
assistance, sales and customer service for both HO and Nikon Service Centers, Coordinate and
manage, travel and meeting requests. Schedule appointments, maintain calendar and make
alternative arrangements for cancelled or interrupted appointments.
2. Managing office budget and petty cash for H.O. And Nikon Service Center, Appointment and
transactional arrangements with suppliers to assist all offices and departments as needed.
3. Manage effective office procedures and efficient work flow.
4. Implement and maintain procedures/office administrative system.
5. Booking for Hotel and Airline need of the company for business related travels (if necessary).
6. Custodian/monitor/tracking of office equipment and/or devices.
7. Custodian of all Legal contracts of the company.
8. Ministerial Back-end Operation/Management of Marketing (BTL), Nikon School Workshops
and Official Nikon Club Philippines.
9. Authorized signatory for Communication lines, Authorized signatory for H.O. And Nikon
Service Center/Showrooms Telecom subscription, off-site warehousing and Local government
transactions.
10. Assist the company in assuring and maximize the resources of the departments in terms of
productivity.
11. Monitor Ensure that standard procedures are followed when third parties are hired. Monitors
and ensure that the necessary administrative and legal formalities are completed. Ensures that
the third party properly executes the agreed terms and conditions. Coordinate, monitor and
ensures company representation of the different department are in alignment with the values of
the community and its principal.
12.Assist in compliance with the Branding Guidelines of the company and its Principal.
13.Assist in resolving external conflicts/difference with other parties which would have financial
impact to the company's operation and image.
Finance Management:
1. Tracking/monitoring of expense reports, Non-Trade account payables, revolving funds, funding
for events, CA requests of Thinkdharma Inc. Employees (Sales and Marketing) including but
not limited to preparation of Request for Payments.
2. Part of the approvers for budget review and request from the Marketing Team.
Departmental Coordination:
1. POC for Administrative Building concerns for the Head Office, Nikon Showroom / Service
Center Makati and Cebu Branch.
2. POC for Corporate Affairs
3. POC for Corporate Security
4. POC for all Shared Servicing concerns like Corporate HR, Accounting, Finance (Treasury)
Legal, IT etc?
5. POC for contractors and agencies
6. POC for all legal matters related to the company
Other Task:
1. General employee assistance
2. Purchasing for Non-Trade requirements
3. Delivery of stocks (if necessary)
4. And other productive task related to the business.
