Duties and Responsibilities.

1. Human Resource Duties and Responsibilities ? Update and revise job descriptions, develop and monitor performance evaluation program as required.
? Implement staff development plan in order for staff to develop their talent and skills.
? Coordinate all administrative matters i.e. Leaves, sickness, etc.
? Implement activities that motivate staff to increase productivities in the company.
? Develop, recommend and implement personnel policies, procedures, prepare and maintain employee handbook, performance benefits etc.
? Make sure that placement, orientation confirmation, leaves, transfer, promotion, dismissal are handled in accordance with established policies and procedures of the national labor Laws.
? Design, plan and implement employee recruitment in accordance with the policies and procedures and liaise with line managers to evaluate and process recruitment.
? Process contract, extension, staff offer letters and send notification letters of regret to unsuccessful candidates.
? Handle and Manage staff personnel files and ensure accuracy and completeness of the staff employment information are available.
? Conduct assessment and review staff development and feedback that helps to develop plan activities of the organization.
? Handle staff grievances, disciplines, hearing and resolving, counseling services to employees and supervisors.

1. Duties and Responsibilities

1. Recruitment and Selection ? Work closely with staff and Human Resource Consultant to plan and manage timely and effective recruitment, review job description and recruitment requests include use of networks, advertisements, screening applicants, participate in interviews, check referees make job offer etc.
? Follow up and track employee?s contract renewals on yearly basis after probation.
? Prepare recruitment plans and coordinate the recruitment, selection and placement process within policy
? Develop and maintain an orientation guide for the region.
? Manage and track staff probationary periods.
2. Attendance Management ? Manage and supervise attendance of the staff of the Company.
? Update overtime, Timesheets of Employees on monthly basis.
? Prepare and collect employee?s weekly attendance sheets that all supervisors signed
? Check the attendance sheets to determine the number of the absenteeism of the employees.
? Manage and update the leave balance, sick leave and overtime calculation.
3. Training and Development ? Plan for Capacity building, on job training and mentoring of staff in the health posts with respect to growth monitoring and nutritional programs.
? Work with management to develop staff development plans, and identify training needs and training opportunities.
? Ensure all new staff members receive a comprehensive orientation and carefully conversant with company?s policies and regulations.
? Coordinate the (Technical) orientation and induction process for new staff.
? Support Area Coordinators to develop and implement the training plans
? Evaluate impact of trainings and learning initiatives and implement mechanisms to facilitate transfer of learning
4. Policies, Procedures and system management.
? Ensure that proper HR Policies, procedures and systems are activated in accordance with the South Sudan labour laws.
? Review and advice on HR Manual procedures to the employees in the Company
? Manage national staff policies and update HR manual that interpret and train managers and staff on procedures, policies and guidelines indicated in the HR manual.
? Promote and uphold the Human resources manual is written and procedures followed. Ensure that all newly recruited staff understand the HR manual policies and sign the acknowledgement.
? Ensure all human resources processes, procedures and systems are legal, compliant with the internal policies and the best policies
5. Staff Well-Fare and engagement management ? Monitor staff health and safety and liaise with relevant stakeholders to ensure staff concerns are addressed
? Plan and implement delivery of staff well-fare initiatives program.
? Coordinate and ensure staff benefits are paid when due and respond to queries from staff.
? Oversee staff annual leave and other absences, ensure equity and program coverage.
? Manage the staff medical scheme.
? Conduct human resource clinical to monitor staff wellbeing.
6. Staff Performance Management ? Manage the communications both internal and external; deliver letters to department?s Line Managers and Supervisors.
? Follow up, plan, coordinate and collect report for final submission.
? Manage the performance management cycle and associated processes.

? Analyse performance goals, annual appraisals and other performance management information and guide the Regional management team/line managers on performance management
? Periodically prepare and provide performance management reports for management decision making

7. HR- Administration ? Oversee the administrative system and personnel to ensure smooth running processes and procedures of the company.
? Management of Staff employment Contract and renewal processes within the set timeline.
? Provide guideline on handling staff grievances and disciplinary procedures
? Prepare and submit report and other daily required activities
? Monitor and manage Staff Leaves
? Provide direct supervision to the following staff senior human resources Officer, HRO and the assistant.
? Undertake regular visits to field sites to review human resources and administrative practices staff morale and procedures.
8. Payroll Management. ? Ensure all supervisors submit approved timesheets for their staff as required by policy.
? Prepare the schedule monthly payroll for staff ensure that the HR database is updated with accurate information.
9. Grievances Management ? Provide guidance and support to staff and line managers/ supervisors on the interpretation of human resources and administrative policies and procedures.
? Address employee?s complaints and grievances following policies, procedures and work closely with the field offices.
? Provide guidance on handling employee grievances and disciplinary procedures
10. Records Management ? Maintain the HR Database and ensure confidential of human resources data including database and files.
? Monitor, update and manage staff records and provide accurate HR information for management decision making whenever required
11. Exit interview Management ? Conduct staff exit meetings with the staff as for their staff labour turnover.
? Carry out staff exit processes i.e. Clearance, handover and other requirement during exit procedures.
