Ensure these are accurate and up to date with all relevant documents as per the employee file checklist
VIP database
Assist in capturing all employee records onto the VIP database
Update employee database timeously with training, registrations, and appraisal records through the year.
Create reports for management information off the database
Resourcing, recruitment and selection
Assist HR manager with:
Collating CV?s in response to adverts and sourcing supporting documents from candidates
Setting up and confirming interviews, booking meeting rooms etc
Administering assessments
Filtering unsolicited CV?s and file by division
Responding to CV?s, bursary applications, internship requests, where required
Performance Reviews
Collating multi-source inputs for performance reviews when required
Setting up and confirming performance reviews, booking meeting rooms etc
Typing and filing final records of Performance Reviews, updating tracking sheet or database

General admin
Assist HR manager and Payroll administrator where required with:
Typing (e.g.: final records of Performance Reviews, Disciplinary meetings, Minutes of meetings, etc)
Filing
Scanning records for electronic archiving
E-mailing / Scanning and e-mailing documents
Creating and distributing mail merge documents to all staff
Distributing and collecting documents from staff as required
Checking attendance register for corporate against leave records monthly
Maintaining computer forms - ensure asset responsibility forms up to date / filed.
Monitoring the expiry dates of employee contracts and Guard risk cover ? reporting monthly on these
Shredding documents when required
Payroll
VIP Payroll system, with a view to providingbackup support to the payroll administrator
Reception(back up support As required)
Greet, assist and direct visitors to the building in a friendly and professional manner
Ensure knowledge of staff movements in and out of organization.
Maintain a neat and tidy reception area.
Monitor visitors? access and maintain security awareness
